Job Title Communications Coordinator
Overview
The Communications Coordinator reports to the Director and works with other staff to implement and standardize the communications and promotions for the Dole institute’s speakers series and public events, including developing long-term marketing and communications strategies and managing audiovisual production for the Dole Institute and its programs.
Responsibilities
60% Marketing & Communications Coordination
Work with all staff and student workers to streamline, maintain, and grow consistent and constant outreach efforts as they relate to an overall comprehensive and integrated marketing strategy for the Dole Institute public lecture and speaker series.
Design and implement marketing strategies for these events, including but not limited to: advertising campaigns, social media, guerilla marketing and student program marketing.
Design and implement evaluation strategy for public events and digital communications, including metric marketing data analysis and tracking.
Develop and execute strategic marketing plan consistent with overall Dole Institute strategic plan and mission.
Manage Dole Institute brand development and management.
Develop and manage communications and marketing budget.
Assist staff on events and special projects as needed.
Manage Dole Institute websites and social media accounts (Facebook, Twitter, Instagram, YouTube).
Develop and manage the Dole Institute’s messaging and communications, which involves print, digital media and social media. This includes newsletters, annual reports and weekly email updates.
Media relations, including writing and disseminating news releases, releasing information to appropriate media, community and KU outlets in partnership with KU Public Affairs.
Maintain detailed communications and marketing records (i.e. media mentions and advertising campaigns).
Supervise the creation of marketing videos, including conceptualization, project management, editing and appropriate distribution.
Serve as primary media liaison for Dole Institute programs
Maintain vendor relationships and manage the design and ordering process of branded materials and promotional items.
Manage all institute communications, digital and public relations materials and projects relating to the Senator’s legacies.
15% Supervision & Staff Collaboration
Hire and supervise two student audiovisual interns (includes scheduling for event coverage in consultation with audiovisual vendors), and two student outreach interns, and a communications intern position.
Manage the event coverage, promotional activities and office hours of interns managed
Conduct regular student marketing meetings to coordinate promotional efforts and bolster campus-wide outreach
Work with Director of Dole Institute on program topics and design as assigned.
Oversee marketing of Student Advisory Board membership of 100-plus students, and over 25 events annuallyMeet monthly with Development Specialist and Associate Director to discuss communication needs and project updates.
Work with Digital Initiatives Coordinator to ensure preservation of event photos, video, marketing photos, graphics, and imagery, and records of creative projects.
In collaboration with the Associate Director, lead strategic planning efforts and ensure integration of exhibit, museum, and archives marketing into Dole Institute marketing initiatives and messaging when appropriate.
Responsible to review projects completed by outside contractors.
15% Audiovisual Production Management
Serves as lead Dole Institute liaison and in-house support for audiovisual, coordinating with vendors and scheduling services for program coverage.
• Budget and coordinate audiovisual equipment, including tracking usage, replacement, upgrades, purchases, installation, troubleshooting and training on new equipment.
• Maintain records and working knowledge of audiovisual systems and troubleshoot when necessary
10% Graphic Design
Conceptualize and design graphics and visual campaigns for communications initiatives across media types (print, web, social media, etc).
Qualifications
BA/BS in Journalism, English, Communications or relevant field.
One-year experience in work related to this position, such as writing/editing press releases or other promotional materials or developing and implementing an integrated marketing plan.
Strong written communication skills as evidenced by application materials.
One-year experience with graphics and/or website software, Adobe Creative Cloud and Content Management System (CMS) including WordPress for the design/layout of public relations materials, and social media channels.
Ability to prioritize and organize duties in an efficient manner as evidenced by experience.
Staff and project management experience.
Preferred qualifications:
Three years or more of public relations or communications experience in a fast paced similar setting.
Three years or more experience with graphic design, web management and social media management.
Three years or more experience in public relations of internal/external media relations.
Experience cultivating topics, program development and/or marketing to engage a variety of audiences.
Demonstrated understanding of the Dole Institute mission.
Experience with cultural heritage/tourism marketing.
Experience with or working knowledge of video production and/or audiovisual equipment and systems.
Experience with event photography.
Salary Information $42,000-$48,000
